- By booking a coaching session, course, camp, or subscription with Access Tennis, you agree to the following Terms and Conditions. These apply to all players, parents/guardians, and participants.
1. Bookings and Payment
- Advance Payment: All coaching sessions, courses, and camps must be booked and paid for in advance via our online booking system (e.g. ClubSpark).
- Confirmation: A booking is only confirmed once full payment has been received and a confirmation email has been issued.
- Non-Transferable: Coaching sessions are booked for the named participant only and may not be transferred to another person.
- Booking Accuracy: It is the responsibility of the person making the booking to ensure all details are correct, including date, time, venue, and player level.
2. Cancellations, Refunds, and Credits
- Customer Cancellations: Cancellations made 48 hours or more before the scheduled session will be eligible for a full refund or account credit.
- Late Cancellations & No-Shows: Cancellations made within 48 hours of the session start time, or failure to attend, are non-refundable and no credit will be issued.
- Coach Cancellations: If Access Tennis needs to cancel a session, a replacement session or account credit will be offered.
3. Weather Policy
- Decision Making: Weather-related cancellations are at the discretion of the coach and may be made at short notice.
- Communication: Sessions should be assumed to be running unless you are informed otherwise.
- Cancellations Due to Weather: If a session is cancelled due to unsafe weather conditions, a make-up session or credit will be provided where possible.
4. Group Coaching & Subscriptions
- Minimum Numbers: Group sessions require a minimum number of players to run. If numbers are low, Access Tennis reserves the right to cancel, merge groups, or adjust session length.
- Monthly Subscriptions: Subscriptions paid by monthly direct debit require one month’s written notice to cancel.
5. Health, Safety, and Medical Information
- Fitness to Play: Participants are assumed to be physically fit and able to take part in tennis coaching activities.
- Medical Conditions: Any medical condition, allergy, injury, or disability must be disclosed prior to the first session.
- Emergency Contact: A valid emergency contact number must be provided for all junior players.
6. Code of Conduct
- Behaviour: Access Tennis reserves the right to refuse participation or remove any player whose behaviour is unsafe, disruptive, or inappropriate, without refund.
- Equipment & Attire: Players must wear suitable sports clothing and appropriate tennis footwear.
7. Data Protection & Media
- Data Protection: Personal information is handled in accordance with UK GDPR and our Privacy Policy.
- Photography & Video: Access Tennis may take photos or videos during sessions for coaching and promotional purposes. If you do not consent, please notify us in writing before the session.
8. Liability
- Personal Responsibility: Participation in tennis coaching is undertaken at the participant’s own risk.
- Limitation of Liability: Access Tennis accepts no responsibility for loss, damage, or injury to persons or property, except where caused by our negligence or where liability cannot be excluded by law.
